Contract Management

Yard Boss handles service contracts for company-owned lands, "buy" contracts for purchased wood, and sales contracts for outside customers. These primary contracts can be organized by geographic source to track revenues/costs back to the harvest area, and/or by vendor/customer. In either case, you can set them up to give you a complete profit/loss picture for each load, contract, delivery point, or other grouping.

Under the primary contract are all the payments associated with the contract (e.g. Cut/Skid, Hauling or Trucking, Timber Dues/Severance/Stumpage). You can pay a single vendor for more than one activity (e.g. the same contractor does the Cut/Skid and Trucking/Hauling) or pay multiple vendors for the same activity (e.g. two trucking companies hauling from the same harvest area).

Some "pay" activities don't generate payments at all. The "Sales" pay activity on a sales contract is actually the revenue received from the customer. The use of "no cheque" vendors lets you assign standard costs (e.g. depreciation rate for timber assets or administrative/overhead costs) to each load delivered. Transfer Payments for wood shipped between company-owned facilities or divisions are "no cheque" revenues.

• Rate Sheets: Save time and effort in managing rates that apply across a number of contracts with a standard rate sheet, with price breaks set by the criteria (e.g. species) you choose.
  
  
• Advances: Issue advances and recover them either "on demand" (i.e. collect $ x on a specific date) or as a percentage of each load delivered.
  
  
• Miscellaneous Payments: Make one-time payments on a contract and allocate them to one or more loads -- or even to specific logs.
  
  
• Holdbacks: Assign holdbacks as a percentage of anticipated payments, and schedule their release at a future date, or manually release holdbacks when a milestone has been achieved.
  
  
• Lump Sum Payments: Generate a single payment for purchased timber, and track the volume received against the cost.
